Add team members
Add team members
Welcome new members to your workspace by setting them up with a team member profile that seamlessly integrates into your business. Learn how to invite new team members by creating client profiles.
Getting started
You can start adding team members as soon as you create your workspace. For a cohesive workflow, we recommend starting by:
- Setting up your locations if you have multiple.
- Creating your service menu.
- Configuring your permission levels to be assigned to team members.
Creating a team member
After creating a team member, they'll receive an email invitation to join Fresha and your workspace.

To create a new team member:
- Open Team and select Team members.
- Click on Add new.
To create a new team member:
- Open Team and select Team members.
- Tap on Add (+).
Adding personal details
To give team members individual login access and notifications, you'll need to add their email address here.

To add and manage your team member's personal profile, continue from creating a team member or:
- Open Team and select Team members.
- Click on Add new.
- Under Personal, select Profile.
- Click on the camera icon to add a profile picture.
- Upload, crop and Apply your preferred photo.
- Enter the team member's First name, Last name, Email address and Phone number.
- Select a Calendar color to represent the team on your calendar.
- Add a Job title. This will be visible to your clients when booking online.
- Under Employment details, enter a Start and End date for their employment.
- Add any private Notes regarding their employment details.
- Click on Addresses from the profile menu, select Add address, enter the details, and click Add to save.
- Click on Emergency contact from the profile menu, select Add emergency contact, fill in the details, and click Add to save.
You can save the team members' profile or go on to add more details.
To add and manage your team member's personal profile, continue from creating a team member or:
- Open Team and select Team members.
- Tap on Add (+) then select Profile.
- Tap on the camera icon to add a profile picture.

- Select a Calendar color to represent the team on your calendar.

- Tap Addresses from the menu, select Add address, enter the details, and tap Add to save.
- Tap on Emergency contact from the menu, select Add emergency contact, fill in the details, and tap Add to save.
You can save the merchant's profile or go on to add more details.
Team members can also upload their profile picture through their personal account, but any image you upload for them will replace it.
Double-check that you've entered your team member's name, profile picture and job title accurately as these will be visible, along with their review rating, to clients booking online for single and multi-service appointments.
Adding workspace details
Update your team member's workspace details by defining their services, locations, and settings.

To add workspace details to a team members profile, continue from adding personal details or:
- Open Team and select Team members.
- Click on Add new.
- Under Workspace, set up the following areas from the menu:
- Services:
Scroll through the list of services, check the box next to each one that the team member is qualified to perform. - Locations:
If you have multiple locations, scroll through the list, check the box next to each one where your team member will work. - Settings:
Under Appointment settings, check the box to Allow calendar bookings.
Under Permission level, use the drop-down to select the access level the team member has to the workspace from No access, Basic, Low, Medium and High.
- Services:
- Click Save.
If your team member is given access to your workspace, they'll receive an email notification once you save the profile.
To add workspace details to a team members profile, continue from adding personal details or:
- Open Team and select Team members.
- Tap on Add (+).
- Under the Workspace tab, set up the following areas from the menu:
- Services:
Scroll through the list of services, check the box next to each one that the team member is qualified to perform, and Add. - Locations:
If you have multiple locations, scroll through the list, check the box next to each one where your team member will work, and Add. - Settings:
Under Appointment settings, check the box to Allow calendar bookings, and Add.
Under Permission level, use the drop-down to select the access level the team member has to the workspace from No access, Basic, Low, Medium and High.
- Services:
- Tap Save.
Permission levels can be customized under your permission settings. Setting the permission level to No access, allows you to save the team member without needing their email address.
Adding pay details
Upgrade to the Team Pay add-on for advanced team member management, including wages, timesheets, commissions, and pay runs.

To add pay details for a team member, continue from adding workspace details or:
- Open Team and select Team members.
- Click on Add new.
- Under Pay, set up the following areas from the menu:
- Wages and timesheets:
Set up your team member's earnings by selecting an hourly rate, and if needed, include overtime calculations and rates. Use timesheets to measure hours worked and lateness, or use automated timesheets to automatically calculate wages from shifts and breaks. Learn more. - Commissions:
Set up tailored commissions for your team member to earn on services, products, memberships and gift cards. Commissions can be configured as a fixed rate or tiered based on the structure and sales period selected by you. Learn more. - Pay runs:
Choose to include your team member within pay runs and configure a preferred payment method for them. You can also determine which fees will be deducted from their pay when completing a pay run. Learn more.

- Click Save.

Once you've added a team member, you can rearrange their position in your calendar and online by selecting Options, choosing Change the order, and dragging them into place.
Keep your account secure by setting up individual logins for each team member instead of sharing the ones belonging to you as an owner. This way you can track the team’s activity too.
