Client summary report explained
The Client Summary Report helps you gain valuable insights into your clients, so you can improve your business performance. It provides a detailed look at your client retention and appointment activity over different time periods.
Using the client summary report
The data in the Client Summary Report is based on client appointments scheduled within the selected date range. You can refine the data further using filters and grouping options.
Appointments that have been cancelled or marked as a no-show will not be included in the client summary report.
Client types
- New clients - Clients who had their first appointment during the selected date range.
- Returning clients - Clients who had their first appointment before the selected date range.
- Walk-in clients - Clients from walk-in appointments who don't have a profile. Since no client profile is attached, these appointments won’t show up as new, returning, or rebooked. Instead, you'll see the number of walk-in appointments and the % of walk-ins.
- Rebooked clients - Clients who have an appointment scheduled after the selected date range. The "% Rebooked" metric will update whenever a client schedules additional appointments.
Note: Clients with multiple appointments will only be counted once. If their first appointment is within the selected date range, they will be considered "New Clients."
Grouping options
You can narrow down the data using the Group by drop-down menu.
- Location - The business location of the appointment.
- Team Member - The team member who performed the service. Appointments with multiple services will include each team member who performed the service.
- Gender - The gender listed in the client’s profile.
- Channel - The channel the appointment was booked through (e.g. Book Now link).
- Date range - Choose from different date ranges (day, week, month, quarter, year). This will be based on the date range set in the calendar drop-down menu. You can also check scheduled appointments using future date ranges.
NOTE: By default, clients are grouped as new, returning, or rebooking at the overall business level. If you group by Location or Team Member, you'll see additional columns to help track retention for each location or team member. In these cases, a client may appear with multiple "first appointments" — one for each location or team member they interacted with.
Filter options
Use the filters drop-down menu to apply additional preferences and further segment your data.
- Client gender - The client’s gender as specified within their client profile.
- Location - The business location of the appointment.
- Channel - The channel the appointment was booked through e.g. Book now link.
Understanding the client summary data fields
Based on the filters you apply, you'll see the following data fields to help analyze and compare your clients:
- Total clients - All clients with appointments in the selected date range, excluding walk-ins.
- New clients - Clients who had their first appointment during the selected date range.
- New clients with team member - Clients with a first appointment with the specified team member, during the selected date range.
- New client at location - Clients who had their first appointment at a specific location during the selected date range.
- % Returning clients - The percentage of total clients classed as new clients.
- Returning clients - Clients with a first appointment before the selected date range.
- Returning clients with team member - Clients who had their first appointment with a specific team member before the selected date range.
- Returning clients at location - Clients who had their first appointment at a specific location before the selected date range.
- % Returning clients - The percentage of total clients classed as returning clients.
- Walk-in clients - The percentage of walk-in clients compared to total clients.
- % Walk-ins - Appointments with clients who do not have a client profile.
- Rebooked clients - Clients with an appointment scheduled after the selected date range.
- Rebooked clients at with team member - Clients with an appointment scheduled with the specific team member, after the selected date range.
- Rebooked client at location - Clients with an appointment scheduled at the specified location, after the selected date range.
- % Rebooked clients - The percentage of total clients classed as rebooked.
