Create, manage, and checkout draft sales
Save sales before you’re ready to checkout, giving you the flexibility to make changes as needed. Learn to create, manage, and complete draft sales.
How draft sales work
Draft sales allow you to start a sale, save your progress, and return anytime to manage items, service charges, tips, and discounts before completing checkout and generating an invoice.
While part payments aren’t supported, you can apply and charge upfront payments for appointments included in the sale.
Creating draft sales
Draft sales can be created through appointments or directly through a new sale raised via the calendar or your sales list.
Create draft sales from appointments
You can create draft sales directly from a client’s appointment. This is especially useful when clients want to add extra items, like additional services or products, before, during or after their appointment.
- Open the Calendar.
- Click on the appointment you want to save as a draft sale.
- Select Checkout to make any cart adjustments, including:
- Add additional items
Click on Add to cart and use the category menu to select additional items to add to the cart, including Appointments, Services, Products, and Gift cards. - Edit item details:
Click on the item within the cart and adjust the Price, Quantity, Discount, or Team member then Save. - Adjust service charges:
Any services will be highlighted. Click on these to adjust the Percentage and Rate value or click on the trash icon to remove it from the cart. - Apply quick actions:
Click on Quick actions (three dots) to add an additional Cart discount, any Sales notes, or a Service charge.
- Add additional items
- Click on Quick actions (three dots) and select Save as draft.
Appointments linked to a draft sale will have a draft sale icon (shopping cart) in your calendar.
If you forget to save your cart and click the X button, a confirmation pop-up will appear, asking you to confirm whether you want to save or discard your changes.
Create draft sales from a new sale
Draft sales can be created through the calendar using the Add button.
To save a new sale as a draft:
- Open the Calendar.
- Click Add, then Sale.
- Select a client profile.
- Add items to your cart and apply any adjustments as needed:
- Add items:
Use the category menu to select items to add to the cart, including Appointments, Services, Products, and Gift cards. - Edit item details:
Click on the item within the cart and adjust the Price, Quantity, Discount or Team member then Save. - Adjust service charges:
Any services will be highlighted. Click on these to adjust the Percentage and Rate value or click on the trash icon to remove it from the cart. - Apply quick actions:
Click on Quick actions (three dots) to add an additional Cart discount, any Sales notes or a Service charge.
- Add items:
- Select Quick actions (three dots) and select Save as draft.
On a desktop, you can also create a draft sale directly through the Add new button under the Sales section.
Managing draft sales
You can view or edit draft sales at any time before checkout. Each draft sale clearly displays the payment status as either unpaid, part-paid, refunded, or canceled for quick visibility.
Edit a draft sale
To edit a draft sale:
- Open the Sales section and select Sales.
- Click the Drafts tab and select the relevant draft sale number.
- Select Checkout.
- Make any cart adjustments as needed.
Any changes you make to the cart will be automatically saved to the draft sale.
Refunding draft sales
If a client has partially paid their draft sale through an upfront payment attached to an appointment, you can issue a refund for this at any time.
To refund upfront payments from appointments:
- Open the appointment attached to the draft sale
- Calendar:
Open the Calendar and select the appointment. - Appointment:
Open Sales and select Appointments, then select the appointment with the upfront payment.
- Calendar:
- Select the three dots under Payment policy and then Refund.
- A pop-up message will appear indicating that the draft will be deleted, select Continue to confirm.
- Click Issue refund.
Checking out draft sales
Draft sales can be found within the client’s profile, under Sales, or directly within the related appointment. You can checkout the draft sale from any of these points of access.
To checkout a draft sale:
- Open Sales and select Sales.
- Select the Drafts tab and select the relevant draft sale.
- Click Checkout and make any cart adjustments before selecting Continue to payment.
- If enabled, select a tip preference. Once applied, you can click the tip to adjust the amount, edit the team member or merchant, or split it by selecting Add team member and then Apply.
- Select Continue to payment and choose a payment method.
- Click Pay now to complete the sale.
The sale will now be recorded as completed under the Sales tab.
Canceling a draft sale
If a draft sale is no longer needed, you can cancel it.
To cancel a draft sale:
- Open Sales and select Sales.
- Click the Drafts tab and select the relevant draft sale.
- Select the three dots and then Cancel draft.
- Click Confirm to reconfirm.
When canceling an appointment linked to a draft sale, the outcome depends on its contents: if it’s the only appointment, the draft sale is canceled; if it includes others, the draft sale remains active.
FAQs
If a payment fails or card terminal payment is canceled when checking out a draft sale, the status will remain unchanged, allowing you to return and select an alternative payment method. This means these failures and cancelations will not be recorded unpaid.
Team members will need permission for ‘Can check out sales’ to raise a draft sale. You can manage their permissions through your Workspace settings.
Yes, a walk-in appointment can be saved as a draft sale allowing you to cater to clients who do not have prior bookings or appointments.
No, clients cannot partially pay for items in the cart. However, they can make an upfront payment attached to an appointment.
